Responsibilities

The Executive Assistant will provide comprehensive administrative support to the executive team. This role requires a high level of professional, discretion, and the ability to manage multiple priorities in a fast-paced environment.

  • Provide coverage on phones, manage executive calendars, schedule meetings and appointments, and coordinate meals and event planning.
  • Collaborate with our travel department to organize and manage complex travel itineraries, including flights accommodations and transportation.
  • Handle check requests and purchase orders, and file expense reports.
  • Arrange and coordinate executive interviews, acting as a liaison with candidates and internal stakeholders.
  • Service as a point of contact between executives and various departments, including Communications, Physical Plant, and IT for phones computers and other equipment needed.
  • Address and fulfill various ad hoc requests from the executive team as needed.
  • Maintain and organize electronic filings for easy access and retrieval.
  • Work with Security to ensure smooth and secure visits for guests and visitors.

Qualifications

  • Bachelor’s degree or equivalent work experience.
  • Minimum of 3-5 years of experience as an Executive Assistant or in a similar administrative role.
  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal abilities.
  • Proficiency in Micro office Suite (Word, Excel, PowerPoint, Outlook).
  • Discretion and confidentiality in handling sensitive information.
  • Ability to work independently and as part of a team.
  • Detailed oriented with a proactive approach to problem solving.

 

Salary Range

$65,000.00-$95,000.00 USD 

 

The successful candidate is expected to work in one of our offices 3-4 days per week and also be available for travel as required.

The annual base salary range posted represents a broad range of salaries around the U.S. and is subject to many factors including but not limited to credentials, education, experience, geographic location, job responsibilities, performance, skills and/or training
